Structuring the Signing Process with Signing Order

Learn how to effectively implement a signing order in your agreements, ensuring a structured and orderly signing process.

Enabling Signing Order

Setting up a signing order for your agreements is straightforward:

  • Activate the Feature: Simply set enable_signing_order to true when creating or updating an agreement.
  • Automatic Queue Assignment: Participants are automatically assigned a queue number based on their creation date, in ascending order. If a participant has a pre-assigned queue number, it will be retained.

Sequential Signing

  • Orderly Progression: No participant can sign or approve the document unless all preceding participants have fulfilled their roles.
  • Ensures Compliance: This method is ideal for scenarios where the order of signing is crucial for compliance or internal processes.

Flexibility with Signing Groups

For scenarios where a sequential order is too rigid, signing groups offer greater flexibility:

  • Group-Based Signing: Participants within a signing group can sign or approve the agreement in any order they choose.
  • Group Completion: Once all participants in a group have signed, the invitation is extended to the next group in the sequence.

How Signing Groups Work

  • Create Groups: Assign participants to groups based on your workflow needs.
  • Flexible Within, Structured Between: Within each group, the signing order is flexible. However, one group must complete before moving to the next.

Ideal Use Cases

  • Collaborative Environments: Perfect for situations where participants within a group work collaboratively and can sign in any order.
  • Staged Approvals: Useful in multi-stage processes where different teams or departments need to sign in a specific group order.
